Digital Archives Specialist – Library and Learning Commons

About the role

The Library and Learning Commons Department is seeking a Digital Archives Specialist to plan, design, classify, secure, store, maintain, use, retain, dispose, and preserve both born‑digital and digitised records. The role supports long‑term preservation of digital assets and ensures archival collections are discoverable and accessible for researchers, staff, students and the public.

Key responsibilities

• Implement ISO/TS 16175, ISO 15489, ISO 14721, ISO 23081, ISO/TR 15801 and ISO 25964 for digital records management.
• Collaborate with IT to develop an integrated electronic records management system covering emails, data, web content and electronic records.
• Create and automate retention and disposition schedules for the integrated system.
• Appraise and select vital and historical university records.
• Develop policies, guidelines and procedures in line with national archival legislation and international best practices.
• Arrange and describe records using ISAD‑G, AtoM or the Records in Contexts–Conceptual Model (RiC‑CM).
• Conduct regular surveys, inventories and audits of physical, analog and digital records.
• Provide technical support for transferring archival content across platforms while preserving metadata and file integrity.
• Participate in International Council on Archives activities and deliver training to staff, students and the wider community.

Required profile

• Bachelor’s degree in archival, information or computer science plus at least six years of enterprise‑wide electronic records experience (minimum two years supervisory).
• Master’s degree or relevant certification is an advantage.
• Hands‑on experience with EDRMS/ECM environments such as Micro Focus Content Manager and OpenText.
• Experience working in an academic library setting is highly desired.

• Proficiency with MS Office applications.
