About the role
The EA cum Audit Administrator provides high‑level executive support to the Group Chief Audit Officer while ensuring the smooth day‑to‑day administration of the Internal Audit & Compliance function. This hybrid role blends traditional executive‑assistant duties with specialised audit‑tracking and governance responsibilities, enabling the team to meet strict deadlines and maintain confidentiality.
Key responsibilities
- Manage the CAO’s calendar, resolve scheduling conflicts and coordinate meeting logistics, including room bookings, video‑conferencing and attendee confirmations.
- Maintain and update audit plans, audit universe and action‑tracking registers, following up with process owners to close findings.
- Coordinate the issuance of audit reports and working papers, ensuring version control, approvals and secure filing.
- Format, proofread and prepare audit reports, presentations and reporting packs to house style.
- Track and administer the function’s operating budget, process procurement requests, purchase orders and invoices.
- Arrange domestic and international travel, visas, accommodation and expense reporting for the CAO and audit staff.
- Take accurate minutes, track action items and follow up on deliverables from meetings and Audit Committee sessions.
- Maintain confidential physical and electronic filing systems for correspondence, contracts, policies and key records.
- Support onboarding/off‑boarding logistics, training schedules and records management for the audit team.
Required profile
- Proven experience as an executive assistant or senior administrative professional, preferably supporting senior leadership.
- Strong organisational skills with the ability to manage multiple priorities and tight deadlines.
- High level of discretion and professionalism handling confidential information.
- Excellent written and verbal communication skills.
- Detail‑oriented mindset with a focus on accuracy and compliance.
Required skills
- Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with calendar management, travel coordination and expense reporting.
- Familiarity with audit‑tracking registers, document control and budget administration.
- Ability to draft, format and proofread professional reports and presentations.
