Facilities & Logistics Executive

About the role

The Facilities & Logistics Executive acts as the single point of contact for all facility and logistics matters, ensuring a safe, efficient and well‑maintained workplace for employees and visitors in Dubai.

Key responsibilities

• Assist with hotel bookings for visiting consultants and ensure cleanliness and timely resolution of facility issues.
• Coordinate office logistics including courier handling, visitor management, seating allocation and movement planning.
• Maintain inventory of office supplies, stationery and consumables.
• Support onboarding with facility walkthroughs and workplace readiness, and assist with visa documentation.
• Manage vendor relationships, monitor service level agreements and support purchase request / purchase order processes.
• Ensure compliance with workplace safety norms, coordinate safety inspections and keep related documentation.
• Provide logistical support for leadership visits, team events and office programmes, preparing meeting rooms and common areas.
• Maintain office inventory trackers, lease agreements, trade licences and coordinate with HR and banks for employee requirements.

Required profile

• Bachelor’s degree in Administration, Operations or a related field.
• At least 1 year of experience in facilities, logistics or workplace operations (freshers welcome).
• Strong coordination and stakeholder‑management abilities.
• Excellent communication and service orientation.
• Ability to multitask in a fast‑paced environment.
• Basic knowledge of vendor negotiation and procurement processes.

Required skills

• Proficiency in Microsoft Excel.
• Proficiency in Microsoft Teams.
• Experience with workplace management tools.
