About the role
The HR & Admin Specialist will manage all human‑resources and administrative activities for the UAE branch, ensuring that local HR records, procedures and documentation comply with company policies and UAE regulations. The role works closely with the HR team in Kuwait to align recruitment, payroll and training processes.
Key responsibilities
- Process and follow up on work permits, employment contracts, entry permits, medical tests, Emirates IDs, residence permits, renewals and cancellations, ensuring timely submission of required documents.
- Maintain expiry trackers and initiate renewal procedures well in advance to avoid delays.
- Coordinate with PROs, government authorities, service centres and insurance providers to resolve documentation issues.
- Keep employee files and HR records up‑to‑date while safeguarding confidentiality.
- Prepare HR letters, employment and salary certificates, NOCs and other correspondence in English and Arabic.
- Support onboarding, transfers and separation formalities by collecting documents and monitoring procedures.
- Answer employee personnel inquiries and guide them on required documentation.
- Manage medical insurance additions, deletions and renewals and maintain related records.
- Maintain Emiratization records and assist with Nafis and UAE national pension registration.
- Provide regular Emiratization updates, highlighting deadlines and missing documents.
- Coordinate with the HR Kuwait team on UAE recruitment documentation, payroll inputs and training records.
- Assist with branch license, labor file, immigration file and establishment record renewals.
- Follow Group HR policies and report sensitive employee or compliance matters to the manager.
Required profile
- Bachelor’s degree or diploma in Human Resources, Business Administration or a related field.
- 5‑8 years of UAE HR personnel or administration experience.
- Practical experience with UAE work permits, residency procedures and government portals.
- Knowledge of Emiratization, Nafis and UAE national pension procedures is preferred.
Required skills
- Familiarity with UAE government portals for work permits and residency processes.
- Ability to maintain accurate HR records and confidentiality.
- Proficiency in preparing HR correspondence in both English and Arabic.
