Junior Facilities Coordinator

About the role

We are seeking a proactive Junior Facilities Coordinator to support the day‑to‑day operations of our Abu Dhabi office. You will work closely with the facilities team, reception, IT, security and external vendors to ensure a safe, efficient and welcoming workplace.

Key responsibilities

• Assist reception with deliveries and ad‑hoc operational requests.
• Process purchase orders, track invoices and maintain internal controls.
• Monitor and replenish pantry, washroom, stationery and other critical supplies.
• Log and track facilities requests via the landlord helpdesk and email.
• Coordinate maintenance, repairs and vendor activities (cleaning, pest control, pantry services, furniture, etc.).
• Conduct routine office walkthroughs, report findings and follow up on actions.
• Prepare meeting rooms and client areas, including basic A/V checks.
• Support trading‑floor readiness and respond quickly to HVAC, lighting, power or leak issues.
• Maintain fire‑life‑safety routines, health‑and‑safety documentation and compliance logs.
• Liaise with ADGM building management, landlords and other tenants on security and building‑system matters.

Required profile

• Fluent English (written and spoken); Arabic is a plus.
• Strong interpersonal skills and ability to work with multiple internal stakeholders.
• Experience coordinating external vendors and following building/landlord procedures.
• Excellent time‑management, multitasking and record‑keeping abilities.
• Practical, proactive and solutions‑focused work approach.
