About the role
We are looking for an Office Operations Lead to ensure the smooth running of our office in Dubai. The role acts as the primary in‑country representative for regulatory, client‑facing and facilities matters, supporting senior stakeholders and delivering a professional environment for staff and visitors.
Key responsibilities
- Serve as the main liaison with local regulatory authorities, handling filings, staff updates, annual reports and audit submissions.
- Manage lease compliance, coordinate with the landlord and oversee facilities inspections and documentation.
- Ensure on‑site health and safety compliance, conduct required checks and support central H&S teams.
- Deliver new‑joiner inductions covering office processes, facilities and safety requirements.
- Oversee day‑to‑day office and supplier management, including facilities, printing and merchandising vendors.
- Coordinate client and guest visits, support business development events and maintain client contact lists.
- Provide executive support to lawyers, including diary management, secretarial duties and case‑related administration.
- Process financial transactions such as invoices, disbursements and cheque handling, and liaise with finance teams for recording.
Required profile
- Strong organisational and coordination abilities with a proactive approach.
- Excellent communication skills for interacting with regulators, landlords, clients and internal teams.
- Experience in office administration, facilities or compliance functions.
- Ability to manage multiple priorities in a fast‑paced environment.
Required skills
- Proficiency in office software (e.g., Microsoft Office suite).
- Familiarity with regulatory filing processes and health‑and‑safety standards.
- Basic financial administration skills, including invoice processing and cheque handling.
