About the role
The Patient Admin Executive is responsible for delivering front‑line administrative support to patients and clinical staff within the hospital. This role ensures smooth patient flow, accurate record‑keeping, and timely financial processing while upholding hospital standards and patient confidentiality.
Key responsibilities
- Greet patients, direct them to appropriate departments and provide routine information about the hospital.
- Handle telephone inquiries from patients and relay information to the respective doctor or nurse for callbacks.
- Manage appointments, including handling no‑shows, rescheduling, and confirmations.
- Register new patients and keep existing patient records up to date.
- Provide information on medical insurance coverage and collect payments or co‑payments based on eligibility.
- Supply claim forms for patients who wish to seek reimbursement.
- Facilitate daily cash collection, credit‑card slips and cheque deposits, ensuring timely and accurate processing at shift end.
- Maintain working knowledge of the Hospital Information System, clinic schedules, doctor rosters and booking procedures.
- Perform duties related to patient handling, telephone calls, cash handling and back‑office work as specified in the duty roster.
- Check emails daily and respond to queries promptly.
- Ensure operations follow hospital policies and procedures uniformly.
- Contribute to team effort and maintain a safe, clean reception area.
- Participate in hospital training programs.
- Handle complaints in a structured, timely and professional manner.
- Follow assigned duty schedules, including various shift timings.
- Adhere strictly to NMC regulations, infection‑control, patient‑safety and JCI standards.
- Support continuous quality improvement and participate in quality‑assurance activities.
- Exercise effective interpersonal skills with staff, colleagues and management.
- Maintain patient and staff confidentiality.
- Ensure high data accuracy while complying with privacy regulations.
- Generate and process patient invoices for consultations, treatments and diagnostic tests.
- Issue bills and invoices for outstanding balances, co‑pays, deductibles or non‑covered services.
- Provide patients with detailed statements and assistance in understanding charges and payment options.
- Collect co‑pays, deductibles and outstanding balances at the time of service.
- Ensure billing practices comply with legal and insurance requirements.
