Property Onboarding Coordinator & Administrator

About the role

The Property Onboarding Coordinator & Administrator ensures a smooth onboarding experience for new properties joining the Holiday Homes program. Acting as the central hub between Business Development, Owner Support, Maintenance, Interior Design, Procurement, Housekeeping, Revenue Management, Listing, Operations, building management, and external service providers, the role guarantees that all onboarding activities are efficiently arranged and documented.

Key responsibilities

• Coordinate the entire onboarding process from inspection request to completion, assigning inspectors and scheduling activities such as inspections, maintenance visits, furnishing installations, cleaning, photography, and access arrangements.
• Review inspection reports, identify onboarding requirements, and generate accurate quotations for furniture, inventory, maintenance, consumables, appliances, and services.
• Maintain onboarding schedules, keep stakeholders informed, and support property handovers to Operations.
• Prepare, collect, organize, and archive all onboarding documentation, including forms, agreements, permits, inspection reports, and project records.
• Update project information in PMS, ClickUp, Google Workspace, and other company systems.

Required profile

• Experience in property onboarding, inspection assessment, and quotation preparation.
• Strong organizational and scheduling abilities.
• Effective communication with internal departments and external service providers.
• Attention to detail in documentation and permit coordination.
