Senior Specialist – Event Management

About the role

The Senior Specialist – Event Management will plan, coordinate and deliver major events and institutional activities for the Higher Colleges of Technology. The role ensures events follow the annual calendar, stay within budget and meet HCT standards.

Key responsibilities

• Develop and implement the annual events calendar and associated budgets.
• Lead planning and execution of large‑scale events such as graduations, national celebrations, conferences and other strategic activities.
• Create detailed event plans covering timelines, programmes, registration, logistics, travel, venue requirements and stakeholder responsibilities.
• Coordinate with internal departments and external partners to ensure smooth delivery.
• Research, select and manage speakers, venues, caterers, photographers, videographers and other service providers.
• Monitor budgets, track expenditures and prepare cost reports.
• Prepare pre‑event status updates and post‑event evaluation reports.
• Identify risks and take corrective actions to guarantee successful delivery.
• Oversee onsite execution and ensure timely dismantling and venue clearance.
• Support the Event Management Manager in developing standards, procedures and best practices.

Required profile

• Bachelor’s degree in Business Administration, Public Relations, Communications, Marketing, Event Management or a related discipline.
• Minimum 4 years of experience planning and delivering large‑scale corporate, government or educational events.
• Proven ability to manage external vendors, budgets and multiple stakeholders.
• Full professional proficiency in English; Arabic is an advantage.
