Administrator - Logistics & Inventory

About the role

Indigo Living is seeking an Administrator to manage last‑mile delivery operations and support core inventory functions across its retail, corporate and rental divisions. The role involves coordinating with a third‑party warehouse, scheduling the company fleet, and maintaining accurate stock records in the ERP system.

Key responsibilities

• Enter inbound shipment deliveries into the ERP system and consolidate delivery requests from all divisions.
• Schedule Indigo fleet trucks based on delivery dates, locations and manpower requirements.
• Prepare and send Delivery Orders to the third‑party warehouse and issue them to the fleet team.
• Curate documentation, prepare gate passes and coordinate with local suppliers for deliveries.
• Post purchase orders, sales orders and delivery notes daily in the ERP system.
• Upload item codes, price changes, discounts, product details and new product images to the website.
• Monitor minimum stock levels for locally produced items and alert the Controller for replenishment.
• Prepare weekly sales reports, monthly inventory reports and ad‑hoc reports for management.
• File all logistics and inventory documents and support quarterly cycle counts and the annual stock‑take.
• Provide required documentation for internal and external audits.

Required profile

• Minimum of 2 years experience in an administrative role supporting logistics and inventory.
• Hands‑on experience with last‑mile logistics, delivery scheduling and coordination with warehouse and fleet teams.
• Highly organized, detail‑oriented and able to maintain high accuracy standards.
• Strong coordination, communication and documentation capabilities across logistics workflows.
• Proven ability to manage multiple shipments, priorities and delivery schedules in a fast‑paced environment.
