Celebrity & VIP Coordinator – Abu Dhabi

About the role

The Celebrity & VIP Coordinator will orchestrate world‑class travel, hospitality and on‑the‑ground experiences for celebrities and VIPs visiting Abu Dhabi as part of YKONE’s influencer‑led campaigns. Reporting to the Director of Celebrities & VIPs, the role ensures seamless end‑to‑end management from arrival to departure, delivering exceptional experiences that support client objectives and strengthen YKONE’s reputation.

Key responsibilities

• Identify, cast and vet celebrity and VIP profiles that align with client briefs and campaign goals.
• Conduct talent research, cultural insights, competitive benchmarking and digital trend analysis to inform campaign strategy.
• Build and maintain relationships with talent, agents and managers, keeping accurate CRM records and capturing preferences.
• Support day‑to‑day client communication, ensure accurate project tracking and reporting across internal platforms.
• Coordinate cross‑functional teams and maintain organized project documentation, reporting tools and shared drives.
• Manage end‑to‑end travel and hospitality logistics, including itineraries, flights, accommodation, transportation, security, bespoke experiences and gifting.
• Monitor travel‑related budgets and expenses to stay within approved financial frameworks.
• Act as the primary on‑site contact during events, anticipating talent needs and handling real‑time issues to ensure a seamless experience.

• Ability to work under pressure and resolve issues in real time.
• Experience in luxury travel, hospitality or high‑profile event coordination is preferred.
