Crewing Coordinator

About the role

ROVOP is seeking a Crewing Coordinator to manage all aspects of ROV crew scheduling and logistics for offshore projects. The role supports the Operations department by ensuring personnel movements, travel arrangements, and documentation are handled efficiently.

Key responsibilities

• Schedule and facilitate offshore personnel crew changes on an ad‑hoc basis.
• Select and allocate suitable crew in collaboration with Project Managers.
• Coordinate visa requirements with external providers.
• Work with the internal Travel Coordinator to arrange flights, accommodation, and other logistics.
• Track personnel movements, mobilisation dates, rotations, and training days.
• Handle payroll queries and redirect them as needed.
• Assist Project Managers to ensure timely project delivery.
• Organise PPE and kit requirements for offshore staff when required.
• Prepare project assignment notes, travel letters, and related documentation.
• Support the preparation of monthly invoices.
• Coordinate project‑specific personnel certifications, medicals, and safety training with HR & Training.
• Provide client‑required documentation such as LOIs.
• Participate in the department’s emergency on‑call rota.
• Offer any additional support needed by the operations team.

Required profile

• Previous experience in a similar crew coordination or logistics role within a service‑company environment.
• Proven ability to work within a team and meet schedule‑driven targets.
• Strong organisational and communication skills.
• Proficiency with standard PC applications.
