Events Sales Coordinator

About the role

The First Group Hospitality is seeking an Events Sales Coordinator to generate event opportunities and manage client relationships for private functions, celebrations, corporate gatherings and special occasions at an exclusive luxury destination. The role blends sales, administration, event planning and operational coordination to ensure each event meets client expectations and company standards.

Key responsibilities

• Respond promptly and professionally to event inquiries via phone, email and in‑person.
• Gather client requirements, objectives, preferences, budgets and standards.
• Prepare proposals, quotations, packages, presentations and event concepts.
• Conduct site visits and provide accurate information on facilities, layouts and service options.
• Manage the full sales cycle from initial inquiry through confirmation and post‑event follow‑up.
• Maintain accurate records of leads, proposals, bookings, contracts, payments and client communications.
• Coordinate event details such as dates, timings, layouts, menus, décor, entertainment, equipment, staffing and special requests.
• Prepare clear event briefs, function sheets, schedules and operational instructions.
• Liaise with Food & Beverage, Kitchen, Housekeeping, Recreation, Engineering, Security, Finance and other departments.
• Lead pre‑event meetings and operational briefings to ensure seamless execution.

Required profile

• Strong client‑facing and communication abilities.
• Excellent organisational skills with the capacity to manage multiple events simultaneously.
• Attention to detail and ability to produce accurate documentation.
• Proactive follow‑up on proposals, approvals and payments.
• Ability to work collaboratively with cross‑functional teams.
