Executive Virtual Assistant to CEO

About the role
We are looking for a highly organized and proactive Executive Virtual Assistant to serve as the right‑hand partner to our CEO. This remote position goes beyond traditional admin duties, acting as the gatekeeper, calendar strategist, and communication hub that enables the CEO to focus on scaling the business.
Key responsibilities
- Manage a fast‑changing calendar, vet meeting requests, balance time zones, and protect deep‑work blocks.
- Serve as primary point of contact for internal teams, clients, and partners; triage the CEO’s inbox and draft executive‑level responses.
- Attend executive meetings, take detailed notes, extract action items, and follow up to ensure deadlines are met.
- Plan and coordinate domestic and international travel, handling flights, accommodation, ground transport, and dining preferences.
- Handle personal tasks such as event planning, gifting, reservations, and family logistics.
- Prepare, proofread, and format briefing documents, agendas, and slide decks for board meetings or public speaking.
Required profile
- 3+ years experience supporting C‑suite executives or founders.
- Flawless written and verbal English with the ability to mirror the CEO’s tone.
- Resourceful problem‑solver who presents multiple solutions.
- Proven discretion handling confidential business and personal data.
- Willingness to align with the CEO’s time zone and handle occasional urgent after‑hours requests.
