About the role
The Facilities Coordinator will support the Facilities Engineer and Facilities Manager within the Corporate Real Estate (CRE) department, ensuring smooth administrative operations across Al Rostamani Group's real‑estate portfolio. This position focuses on document handling, budgeting assistance, and coordination of office resources.
Key responsibilities
- Provide administrative support to Facilities Engineers and Managers, including drafting letters and memoranda.
- Act as liaison for directives, track assignments, and follow up on status.
- Produce documents, charts, and graphs; organize department meetings, record minutes, and monitor action items.
- Prepare and track Local Purchase Orders (LPOs) and manage invoice entry using SAP, coordinating approvals.
- Assist in preparing office and CRE budgets, collating expenditure data.
- Maintain filing and record‑management systems, oversee desk assignments, stationery, and equipment logistics.
- Coordinate with Finance on payments, contracts, and verification processes.
- Handle tenant documentation, utility bills, and statutory maintenance reports.
- Compile monthly and variance reports, track statutory maintenance records, and generate executive summaries.
Required profile
- Minimum 3 years of relevant experience in facilities administration or corporate real‑estate support.
- Proven ability to manage documentation, budgets, and procurement processes.
- Strong organizational skills and attention to detail.
Required skills
- Proficiency in SAP for purchase order and invoice management.
- Advanced use of Microsoft Office suite (Word, Excel, PowerPoint).
