Import / Export / Trade Documentation Assistant

About the role

An organization based in Dubai is hiring an Import Assistant, Export Assistant or Trade Documentation Assistant to support import and export operations, coordinate shipping documentation and help international shipments move efficiently. The role suits organized, detail-focused people who enjoy managing paperwork and working with suppliers and logistics partners. It is full-time, on-site or hybrid depending on operational needs, and open to entry-level to mid-level candidates.

Key responsibilities

• Prepare and review invoices, packing lists, shipping instructions and other trade documents.
• Assist with import and export orders, shipment tracking and delivery coordination.
• Liaise with freight forwarders, shipping agents, suppliers and customs representatives.
• Verify shipping details and ensure documentation is complete and accurate.
• Maintain organized records of shipments, purchase orders and delivery schedules.
• Follow up on customs clearance requirements and outstanding documentation.
• Update internal systems and prepare shipment status reports.
• Support the team in resolving documentation discrepancies and logistics delays.

Required profile

• Diploma or degree in Logistics, Supply Chain Management, International Trade or Business Administration preferred.
• Strong attention to detail and document-management skills.
• Good written and verbal communication.
• Familiarity with shipping terminology, customs procedures or trade documentation is an advantage.
• Previous import, export, logistics or administrative experience is beneficial.
• UAE-based applicants should state their visa status and preferred work arrangement.

Required skills

• Proficiency in Microsoft Office and spreadsheet applications.
• Ability to coordinate multiple shipments and meet deadlines.
