Office Manager - AI

About the role

This is the first hire within ADIB's Artificial Intelligence group, reporting to the Chief AI Officer. It goes beyond a traditional executive assistant or secretary role, combining elements of chief of staff, project manager, executive coordinator and organizational adviser. The position provides executive coordination, project management, stakeholder management, execution support and organizational navigation to the Chief AI Officer, and current ADIB employees are highly preferred.

Key responsibilities

• Run the day-to-day operation of the Office of the Chief AI Officer, keeping track of priorities, commitments and key relationships, and preparing correspondence, presentations, briefing materials, reports and meeting materials.
• Capture decisions, commitments and actions and follow them through; handle confidential information with discretion.
• Act as the central coordination point between the Office and stakeholders across the Bank, including Executive Management, Business Divisions, Support and Governance Functions and external partners, and help coordinate interactions with the Group CEO's office and Executive Committee.
• Advise the Chief AI Officer on internal processes, organizational practices and local business culture, and anticipate stakeholder sensitivities.
• Prepare, consolidate and review executive reports, Board materials, committee papers, dashboards and management presentations, and maintain the office's documents and records.
• Support the establishment of the AI group, including recruitment, onboarding, workshops, leadership meetings and planning, and foster collaboration across AI, Technology, Digital, Data, Risk, Compliance and Business functions.
• Take on confidential, high-priority, cross-functional assignments and represent the Office in selected discussions.
• Support priority projects from planning to completion, translating decisions into workplans, milestones, owners and deadlines, and maintaining simple project trackers.

Required profile

• Bachelor's degree from a recognized university.
• Fluency in Arabic and English, written and spoken.
• Minimum 7 years of relevant professional experience, including project management experience and experience supporting C-suite executives or senior leadership teams.
• Experience in strategy, transformation, PMO, corporate planning, a CEO/CXO office, or in technology, digital, data, artificial intelligence or innovation functions.
• Understanding of UAE business culture and banking-sector governance.
• Current ADIB employees are highly preferred.

Required skills

• High proficiency with AI productivity tools such as Microsoft 365 Copilot, Copilot Chat and ChatGPT, including using them to prepare PowerPoint, Excel analyses and Word documents, and to build simple personal-productivity agents.
• Strong stakeholder management, communication, presentation and business writing skills.
• Ability to manage multiple priorities and projects at once.
• Project management certification.
