About the role
The Shipping Operations Assistant provides administrative support to the Shipping Operations Team, ensuring accurate invoicing and documentation for vessels chartered in or out. The role involves coordination with internal departments and external partners to maintain smooth, compliant shipping processes.
Key responsibilities
- Prepare and issue invoices for various shipping services, verifying data against bills of lading and charter party terms.
- Coordinate with operations, chartering, and finance teams to validate invoices and monitor payment status.
- Maintain records of invoices, handle adjustments, credit notes, and re‑billing as needed.
- Assist in weekly and monthly billing reports, clearing backlog costs and posting journal entries.
- Support ad‑hoc administrative tasks related to shipping documentation and regulatory compliance.
Required profile
- Diploma or degree in Accounting, Finance, Business, Maritime Studies or related field.
- 1‑3 years of invoicing experience, preferably in a trading house or shipping firm.
- Strong numerical aptitude, attention to detail, and ability to work independently under tight deadlines.
