Travel Planner for Private Family

About the role

A private family in the United Arab Emirates is looking for a dedicated Travel Planner to coordinate all aspects of their personal and family travel. The role demands high discretion, flexibility, and the ability to anticipate and fulfil the family’s travel needs across multiple destinations.

Key responsibilities

• Plan, book, and manage flights, private jet charters, accommodations, and ground transportation for the family and guests.
• Coordinate itineraries for multiple family members, including children and extended relatives, often traveling separately.
• Liaise with private aviation companies, luxury hotels, villa rental agencies, and concierge services.
• Handle visa applications, passport renewals, and other travel documentation.
• Arrange travel insurance and ensure compliance with international travel requirements.
• Manage last‑minute changes, cancellations, and emergencies with speed and discretion.
• Research and recommend destinations, experiences, and accommodations tailored to family preferences.
• Collaborate with household staff, security, and personal assistants to align travel plans with the family’s schedule.
• Maintain strict confidentiality regarding travel plans and personal information.
• Manage travel budgets and keep detailed expense records.
• Be available for occasional travel with the family as needed.

Required profile

• Proven experience as a travel planner, personal assistant, or similar role supporting UHNW/private families.
• Strong network of contacts in luxury travel, private aviation, and hospitality.
• Exceptional discretion and ability to maintain confidentiality.
• Excellent organizational skills and ability to manage multiple, changing priorities.
• Professional communication style and calm under pressure.
• Availability outside standard business hours, including evenings and weekends.
• Valid driver’s license (if local coordination is required).
• Fluency in English; additional languages such as Arabic or French are a plus.
