Document Controller

About the role

The Document Controller will provide document control expertise for capital projects within the Ports & Maritime CAPEX programmes, supporting projects that exceed 1 billion AED annually. The role ensures all project documentation aligns with AD Ports Group’s delivery policy, governance framework, and strategic objectives.

Key responsibilities

• Create, update and maintain a centralized project database with key information, team members and stakeholder contacts.
• Manage EDMS user access, deliver system orientation and training for internal teams, contractors and consultants.
• Prepare and maintain document distribution matrices, capture, archive, distribute and track all incoming and outgoing project documents.
• Conduct quality checks on documents, verify formatting, revision control and compliance with internal DCC standards.
• Monitor document submissions, flag delays or non‑compliant items and escalate to relevant stakeholders.
• Produce dashboards and summary reports on documentation status while ensuring confidentiality and security.
• Support continuous improvement of document control workflows and EDMS functionality.
• Assist with document control activities during project close‑out and handover, maintaining records per retention requirements.

Required profile

• Secondary school education; a bachelor’s degree is a plus.
• Experience handling high volumes of documentation under tight deadlines.
• Strong attention to detail and ability to work under pressure.
• Excellent organizational and communication skills.

Required skills

• Proficiency with an Electronic Document Management System (EDMS).
