Project Administrator

About the role

The Project Administrator supports the Project Manager and Supervisor in delivering projects on time and within budget. This role ensures that all project documentation, cost forecasts, and invoicing are accurate, up‑to‑date, and properly archived.

Key responsibilities

• Collect and organise information for decision‑making by the Project Manager and Supervisor.
• Monitor project schedules, flagging expiring milestones and prompting schedule updates.
• Handle customer correspondence, obtain approvals and signatures, and prepare required documentation.
• Track invoicing status against the billing plan, report deviations, and liaise with customers when issues arise.
• Update cost forecasts with actuals and incoming invoices, ensuring monthly revenue and cost forecasts are current before key milestones.
• Create purchase requisitions in the system, verify required information, and coordinate with the Purchasing Coordinator.
• Plan labour resources for installation activities, including subcontractor requisitions and fitters’ scheduling.
• Participate in Pre‑Delivery Reviews and support revenue recognition at milestone confirmations.
• Manage logistics requests in collaboration with the Logistics Coordinator.
• Administer change orders and variation sales, ensuring timely registration and communication across relevant functions.
