Purchasing Executive

About the role

The Purchasing Executive will lead the procurement function for a multi‑department hotel operation, covering Food & Beverage, Rooms, Housekeeping, Engineering and other areas. Reporting to senior management, you will ensure that all goods and services are sourced efficiently, cost‑effectively and in line with quality standards.

Key responsibilities

• Manage daily purchasing needs across all hotel departments, from requisition to order placement.
• Obtain quotations, conduct price comparisons and negotiate terms with suppliers.
• Process purchase requests, purchase orders and local purchase orders according to approved procedures.
• Identify and qualify reliable suppliers while maintaining existing relationships.
• Coordinate with Stores, Finance and operational teams to guarantee timely delivery of required quantities and specifications.
• Monitor supplier performance, delivery schedules, pricing and service quality.
• Maintain accurate records of suppliers, quotations, contracts and purchasing transactions.
• Support contract renewals and drive cost‑saving initiatives.
• Resolve any outstanding order issues or delivery discrepancies.
• Prepare regular procurement reports for management review.

Required profile

• Bachelor’s degree or diploma in Supply Chain Management, Procurement, Business Administration, Commerce or a related field.
• 2‑5 years of experience in purchasing or procurement, preferably within hospitality or a similar service environment.
• Strong knowledge of purchasing procedures, supply‑chain operations and import regulations (Incoterms).
• Familiarity with contract terms, commercial conditions and payment cycles.

Required skills

• Hands‑on experience with ERP systems such as SAP, Oracle, Microsoft Dynamics or Tally.
• Advanced proficiency in Microsoft Excel and the broader Microsoft Office suite.
• Ability to analyse quotations, negotiate pricing and evaluate supplier performance.
• Professional procurement certifications (e.g., CIPS, CPSM, CPP) are a plus.
