Secretary / Document Controller

About the role

The successful candidate will provide comprehensive secretarial and document control support for construction projects, ensuring smooth information flow between engineering, construction teams and external partners.

Key responsibilities

• Receive, register, track and monitor project documents using standard document management tools.
• Maintain document logs, transmittals, reports and an employee directory with related data.
• Prepare routine correspondence, handle telephone enquiries and manage incoming and outgoing mail.
• Ensure compliance with pre‑established document control requirements throughout the project lifecycle.
• Manage data distribution schedules, expedite reviews, approvals and releases of supplier and internal documents.
• Compile statistics, generate reports in spreadsheet, graphical or narrative formats, and verify data such as supplier invoices.
• Review time reports for accuracy, verify job/WBS charges and follow up on corrections.

Required profile

• Diploma in a related discipline.
• At least 7 years of secretarial/document control experience, preferably in construction.
• Strong written and oral English communication skills.
• Highly organized, proactive and able to work with minimal supervision.

Required skills

• Working knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
• Proficiency with the Aconex document management system.
