Chief of Staff

About the role

The Ivy is launching its first campus in Business Bay, Dubai, and seeks a proactive Chief of Staff to work directly with the Founder. This full‑time position supports operations, administration, and family experience throughout the pre‑opening phase and beyond.

Key responsibilities

• Support the pre‑opening project plan, including classroom setup, vendor coordination, deliveries, installations, and procurement follow‑through.
• Assist with licensing and compliance workstreams by preparing documentation, organizing inspection files, and liaising with KHDA, Dubai Municipality, and other authorities.
• Build and maintain the school’s administrative backbone – child records, attendance registers, safeguarding documentation, and internal trackers.
• Coordinate logistics for staff onboarding, training weeks, and launch events.
• Manage the Founder’s priorities, meeting preparation, follow‑ups, and ensure seamless day‑to‑day operations.
• Draft, format, and proofread documents, correspondence, and reports to The Ivy’s standards.
• Take notes, capture decisions, and drive action items to completion.

Required profile

• Experience in early‑years education, preferably in teaching, admissions, or administration.
• Demonstrated ability to organise events, manage documentation, and support senior leadership.
• Strong understanding of school licensing, compliance, and operational processes in the UAE.
• Excellent organisational skills with a proactive, hands‑on approach.
