Operations Executive - Port Operations

About the role

Inchcape Shipping Services is looking for a detail-oriented, proactive Operations Executive to support its global government services team in executing and coordinating port operations. The role suits someone with a structured mindset, strong analytical skills and the ability to thrive in a fast-paced maritime environment. It is a permanent position based onsite in Dubai.

Key responsibilities

• Plan, schedule and oversee daily offshore boat launches and recovery operations, making efficient use of vessels and resources.
• Coordinate with vessel masters, crew, shore-based teams and external stakeholders.
• Manage personnel, equipment and support vessels to minimise downtime.
• Respond to operational challenges such as adverse weather and equipment failures, using contingency plans where needed.
• Ensure compliance with company safety policies, maritime regulations and environmental standards.
• Conduct pre-launch briefings, safety checks and post-operation reviews.
• Supervise operational staff, allocate tasks clearly and ensure adherence to procedures.
• Monitor equipment readiness, coordinate maintenance and keep accurate operational and compliance records.
• Prepare regular operational reports on performance, delays, incidents and key issues.
• Support audits, inspections and investigations and identify improvements to safety, efficiency and cost-effectiveness.

Required profile

• Previous experience in port agency, vessel operations or ship management is strongly preferred.
• Good understanding of vessel port-call requirements, husbandry services and marine operations.
• Strong coordination skills and ability to manage several parties at once (vessel, client, agent, suppliers, internal teams).
• Commercial awareness and basic experience with PDA/FDA, quotations and cost control is an advantage.
• Strong written and spoken English; good Excel and Microsoft Office skills.
• Attention to detail, follow-up, ability to work across time zones and independently under pressure.
