Procurement Officer

About the role

The Procurement Officer provides an efficient, accurate, and timely contracts and purchasing service for internal university clients. The role focuses on vendor management, ensuring each purchase delivers value for money and aligns with university policies.

Key responsibilities

• Purchase a wide range of goods and services for both campuses, including IT equipment, furniture, lab supplies, vehicles, and building materials.
• Interpret purchase requests, investigate supply sources, and negotiate terms in line with user specifications.
• Solicit and evaluate quotations, prepare bid summaries, and benchmark prices using historical data and market references.
• Manage tender processes, prepare tender documents, monitor closing dates, and coordinate opening sessions.
• Expedite orders to meet contractual deadlines, track deliveries, and communicate status to end users.
• Liaise with vendors to resolve discrepancies, handle damage reports, and arrange replacements.
• Ensure accurate invoicing, facilitate payment approvals, and maintain comprehensive purchase records for audit purposes.

Required profile

• Strong understanding of university procurement policies and procedures.
• Ability to interpret technical specifications and obtain clarifications from end users.
• Excellent negotiation and vendor management skills.
• Attention to detail in reviewing quotations, contracts, and purchase orders.
• Capability to produce detailed purchase histories for audit or presentation needs.
