Senior Merchandising Operations Assistant

About the role

The Senior Merchandising Operations Assistant will provide high‑quality administrative and operational support to Ounass' Merchandising team. Working across buying, planning, supply chain and finance, the role ensures smooth product flow from order placement to online launch in a fast‑paced luxury fashion environment.

Key responsibilities

• Maintain accurate product, purchase‑order and inventory data in all relevant systems and trackers.
• Create, update and verify purchase orders, ensuring correct quantities, prices, currencies and delivery dates.
• Review and correct data entries performed by junior team members to guarantee consistency.
• Collaborate with Buyers, Merchandisers and Planners to keep order trackers current and provide status updates.
• Follow up with suppliers on order confirmations, shipping documents, invoices and any outstanding information.
• Coordinate with Warehouse and Logistics to monitor inbound shipments and resolve discrepancies.
• Process product receipts, cancellations, returns, transfers and other inventory adjustments.
• Assist in reconciling purchase orders, invoices and deliveries, escalating issues as needed.
• Prepare weekly reports, stock updates and administrative analyses for the Merchandising and Buying teams.
• Ensure product information (descriptions, pricing, sizing, colour, composition, origin, sustainability) is complete and ready for online launch.
• Liaise with Content, Production and Creative teams to secure all assets for product listings.
• Support supplier onboarding and maintain up‑to‑date vendor records.

Required profile

• Highly organised and detail‑oriented with the ability to manage multiple priorities.
• Strong communication skills for interfacing with internal teams and external suppliers.
• Experience in merchandising, purchasing or inventory administration within a retail or fashion environment.
• Proactive problem‑solver who can identify and address process inefficiencies.
