Operations Executive

About the role

The Operations Executive will ensure accurate order processing, patient support, inventory coordination, documentation, refund management, and hospital support while maintaining high service standards and operational efficiency.

Key responsibilities

• Verify insurance approvals before processing sales transactions and resolve any issues within the same working day.
• Process patient refunds within two working days and maintain complete refund records.
• Register cash patients on the dashboard on the same day, ensuring accurate and duplicate‑free records.
• Process sales orders, delivery notes and invoices accurately, convert provisional stock to sales orders, and submit documents to RCM and Procurement promptly.
• Coordinate stock requirements with Procurement, report shortages immediately, and support inventory planning.
• Provide patient support including insole scanning and maintain service records.
• Assist hospital staff on request, responding the same working day.
• Respond professionally to patient inquiries, escalating unresolved issues promptly.
• Submit daily and weekly operational reports on time, tracking orders, refunds and documentation.

Required profile

• Mid‑level experience in operations or administration.
• Strong attention to detail and ability to resolve issues on the same day.

Required skills

• Proficiency in Excel for tracking and reporting.
• Experience with sales order, delivery note and invoice processing.
• Ability to verify insurance approvals and manage documentation.
