Purchasing Officer

About the role

The Purchasing Officer coordinates the day-to-day procurement needs of Organic Farm, covering sourcing, supplier communication, Local Purchase Orders (LPOs), invoice documentation and payment follow-up. The role supports timely and cost-effective purchasing while keeping accurate records and following internal approval procedures. It does not independently approve commitments, authorise payments or release funds.

Key responsibilities

• Receive and review purchase requests from farm departments and coordinate sourcing of goods and services
• Request supplier quotations, compare prices, check budget availability and recommend options for approval
• Prepare and track LPOs, obtain required authorisations and follow up on deliveries
• Procure agricultural materials, operational supplies, spare parts, equipment and general services
• Maintain supplier records, contact details, quotations and agreed commercial terms
• Liaise with vendors on prices, availability, delivery timelines, discrepancies and service issues
• Support supplier evaluation and identify opportunities for better pricing and cost efficiency
• Check invoices against approved LPOs and delivery notes, prepare payment documentation for Finance and track outstanding payments
• Escalate discrepancies, overdue deliveries and urgent payment matters to the relevant manager
• Maintain procurement files, purchasing, LPO and payment registers, and prepare periodic summaries of purchases, pending deliveries and supplier balances
• Support budget tracking and ensure compliance with company policies and delegation limits

Required profile

• About 2-3 years of relevant purchasing, procurement support or administrative experience; UAE experience preferred
• Experience with agricultural or farm-related procurement is an advantage
• Valid UAE driving licence is an advantage

Required skills

• Proficiency in Microsoft Excel and standard office applications
• Familiarity with LPO and invoice workflows
