Trauma Referral Coordinator – Trauma Admin

About the role

The Trauma Referral Coordinator – Trauma Admin is responsible for managing inbound and outbound patient referrals for the trauma department, ensuring referrals are processed, prioritized and scheduled in line with Department of Health Trauma Center Standards. The role acts as a central liaison between SSMC, referring providers, the UMOC team and other stakeholders to guarantee timely patient appointments and accurate communication.

Key responsibilities

• Process and prioritize referrals from receiving and prescribing providers according to established policies and procedures.
• Utilize multiple tracking mechanisms to confirm referral approvals and schedule patient appointments promptly.
• Generate periodic reports on hospital referral status, special pathway patients and overall performance.
• Serve as the primary point of contact for SSMC patients and physicians, addressing questions and concerns.
• Assist in resolving referral issues related to language or social barriers and direct unresolved cases to appropriate contacts.
• Answer incoming calls within defined timeframes to meet UMOC Key Performance Indicators.
• Maintain up‑to‑date contact details for health‑care facilities within the network.
• Coordinate with health‑care facilities’ Emergency Management Programs for preparedness, response and business continuity.
• Communicate with UMOC teams during normal operations, major incidents, mass‑casualty events and planned gatherings.
• Monitor facility resources, obtain critical resource information and activate notifications as directed by UMOC.

Required profile

• Experience in healthcare referral coordination or similar administrative roles.
• Familiarity with Department of Health Trauma Center Standards and referral workflows.
• Strong problem‑solving abilities, especially when addressing language or social barriers.
• Ability to work under defined KPIs and manage high‑volume communications.
• Excellent interpersonal skills for interaction with patients, physicians and multiple stakeholder groups.
