About the role
We are seeking a Facilities Management Administrator to support the Quality & Support manager in monitoring departmental KPIs, maintaining documentation, and coordinating daily facilities activities. The role involves liaising with internal teams, vendors, and contractors to ensure smooth operations and compliance with contractual obligations.
Key responsibilities
- Collaborate in reviewing and monitoring departmental KPIs and prepare quarterly performance reports.
- Update and maintain departmental procedures and documentation according to management requirements.
- Support implementation of new systems, processes, and quality initiatives.
- Provide administrative and coordination support to the section, including meeting planning, minute taking, and action‑item tracking.
- Monitor daily Facilities Management (FM) activities, prepare weekly and monthly progress reports, and present performance summaries.
- Assist in developing and reviewing Service Level Agreements (SLAs) and KPIs for FM contracts.
- Maintain regulatory compliance records and manage certification renewal notifications.
- Prepare and process quotation requests, communicate with vendors and service providers, and verify supporting documentation.
- Track FM‑related invoice submissions, purchase order status, and maintain accurate facilities operation records.
- Coordinate timely resolution of facilities‑related issues and service requests.
- Stay informed about industry trends and recommend improvements to facilities management practices.
Required profile
- Recent graduate from a university in the United Arab Emirates.
- Strong organizational and coordination abilities.
- Excellent communication skills for interacting with internal departments, vendors, and contractors.
- Ability to work independently and as part of a cross‑functional team.
