Office Manager - Artificial Intelligence

About the role

This is the first hire within ADIB's AI-Artificial Intelligence Group, reporting to the Chief AI Officer. It goes beyond a traditional executive assistant or secretary role, combining elements of chief of staff, project manager, executive coordinator and organizational adviser. The position provides executive coordination, project management, stakeholder management, execution support and organizational navigation to the Chief AI Officer. Current ADIB employees are highly preferred.

Key responsibilities

• Manage the day-to-day operation of the Office of the Chief AI Officer, keeping track of priorities, commitments and key relationships, and preparing correspondence, presentations, briefing materials, reports and meeting materials.
• Capture decisions, commitments and actions and follow them up; handle confidential information with discretion.
• Act as a central coordination point between the Office and stakeholders across the Bank, including Executive Management, Business Divisions, Support and Governance Functions and external partners, and help coordinate interactions with the Group CEO's office and Executive Committee.
• Advise the Chief AI Officer on internal processes, organizational practices and local business culture, and anticipate stakeholder sensitivities.
• Prepare, consolidate and review executive reports, Board materials, committee papers, dashboards and management presentations, and maintain the Office's documents and records.
• Support the establishment of the AI-Artificial Intelligence Group, coordinating recruitment, onboarding, team activities, workshops, leadership meetings and planning sessions, and helping set operating routines.
• Support the delivery of priority projects, turning decisions into workplans, milestones, owners and deadlines, and maintaining simple project trackers.
• Undertake confidential, high-priority, cross-functional assignments on behalf of the Chief AI Officer, including gathering information, structuring issues and preparing recommendations.

Required profile

• Bachelor's degree from a recognized university.
• Minimum 7 years of relevant professional experience, including demonstrated project management experience.
• Experience supporting C-suite executives or senior leadership teams, and ideally in strategy, transformation, PMO, corporate planning, a CEO/CXO office, or technology, digital, data, AI or innovation functions.
• Fluency in Arabic and English, written and spoken.
• Strong internal knowledge of the Bank's people, processes, culture and ways of working is highly preferred.
• Understanding of UAE business culture and banking-sector governance.

Required skills

• High proficiency with AI productivity tools, including Microsoft 365 Copilot, Copilot Chat and ChatGPT, used to prepare presentations, Excel analyses and Word documents, conduct research and build simple productivity agents.
• Project management certification.
• Excellent communication, presentation and business writing skills, and strong stakeholder management and influencing skills.
