Receptionist / Facility Executive (UAE National)

About the role

Alfa Laval Middle East Ltd is looking for a Receptionist / Facility Executive to be based in its Dubai office. The role sits within the Finance Shared Service in the Middle East and supports front office operations and facilities management alongside the Regional Facilities Manager. It is a contractual role open to UAE nationals.

Key responsibilities

• Front office administration: answer and route incoming calls, welcome visitors, issue visitor passes, maintain visitor logs, respond to routine enquiries and monitor company email.
• Arrange meeting rooms, organize and distribute mail, and handle courier packages and company communications.
• Indirect procurement for the office (hotels, rental cars, travel arrangements).
• Conduct internal checks, facility walks and building audits, and manage facilities contractors and service providers in line with SLAs.
• Order and reconcile office supplies, and support compliance with safety, health, environment and community legislation with the HSEQ Coordinator.
• Support welfare activities, event planning and coordination of facilities across other regional offices.
• Ad hoc: assist with cost budgeting and forecasting, manage office access control with IT, and contribute to local and regional sustainability projects.

Required profile

• Degree in administration or another discipline, or related qualification.
• 2-5 years of experience in a professional office environment; experience in a multinational company is an added advantage.
• Proven experience as a facilities coordinator, office administrator, office assistant or similar role.
• High integrity, attention to detail, independent work, flexibility and excellent written and verbal communication.

Required skills

• Experience with MS Office tools.
• Experience handling a switchboard.
