Receptionist – Front Office

About the role
The Receptionist is the first point of contact for clients, visitors, and callers, representing the firm with a professional and welcoming demeanor. Working closely with the Reception Manager and Office Manager, you will ensure smooth daily operations of the front desk and support administrative functions.
Key responsibilities
- Greet clients and visitors, provide high‑quality customer service, and escort them to meeting rooms.
- Answer, screen, and route calls on the main telephone lines; take messages and forward them appropriately.
- Manage conference‑room and collaboration‑space bookings using the internal booking system.
- Maintain a tidy reception area and conference rooms; arrange refreshments for meetings and events.
- Set up and connect conference calls; handle company email and Zendesk live‑chat for the head office.
- Process client cheque payments and manage incoming/outgoing mail and couriers.
- Issue access cards for new joiners and visitors, keeping accurate records.
- Coordinate travel, transportation, and accommodation in partnership with the Office Manager.
- Provide general administrative support such as photocopying, filing, basic translation, and monitoring office supplies.
Required profile
- Diploma in Secretarial or Administrative studies.
- Minimum 2 years of experience in a similar front‑office role, preferably within a law firm.
- Excellent verbal and written communication skills in English; Arabic is a plus.
- Strong attention to detail, initiative, integrity, and client‑service orientation.
- Ability to maintain confidentiality and work both independently and as part of a team.
Required skills
- Proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience using Outlook for email and calendar management.
- Familiarity with internet browsing and web‑based tools.
- Knowledge of Zendesk or similar live‑chat platforms.
