Senior Project Assistant / Coordinator

About the role

A fast-growing fintech and mobility startup in Dubai is looking for a proactive, detail-oriented and organized Senior Project Assistant / Coordinator. The role suits someone who enjoys dynamic environments, juggling several responsibilities and supporting both operations and leadership.

Key responsibilities

• Office administration: manage day-to-day office operations, organize meetings, appointments and corporate events, and keep records and files secure and organized.
• Support onboarding of new employees and coordinate HR-related activities, while monitoring compliance with company policies and procedures.
• Project coordination: help plan, track and monitor projects from start to delivery, prepare timelines, schedules and trackers, and facilitate communication between teams, stakeholders and external partners.
• Organize project meetings, prepare agendas, take minutes and follow up on action items; identify risks, bottlenecks or delays and escalate them promptly.
• CEO support: prepare regular reports on project status, progress and KPIs, update leadership on critical issues, risks and opportunities, support strategic planning and summarize departmental activities and achievements.

Required profile

• Proven experience as a Project Assistant, Coordinator or similar role; fintech or mobility experience is a plus.
• Strong organizational and multitasking skills with keen attention to detail.
• Excellent communication and interpersonal abilities.
• Proactive, solution-driven and collaborative team player.
• Ability to work in fast-paced environments and manage multiple priorities.
