Assistant Receiving – Luxury Resort

About the role

The Assistant Receiving supports the finance and operations teams of One&Only One Za'abeel, ensuring that all goods and services are received, recorded, and processed in line with ultra‑luxury standards. This position blends financial accuracy with a commitment to exceptional guest experiences.

Key responsibilities

• Verify that an approved Purchase Order exists before any goods are received and match deliveries against PO, delivery note, quantity, specification and price.
• Report shortages, excess quantities, substitutions, damaged goods or price discrepancies to Cost Control or Purchasing.
• Raise Goods Received Notes (GRNs) for items received without invoices and record all transactions in the ERP system.
• Reconcile invoice prices with Purchase Orders, submit invoices with supporting documentation to Finance daily, and ensure credit notes are obtained before returning goods.
• Inform relevant departments promptly when goods are ready for collection and monitor perishable items for temperature compliance.
• Assist in maintaining an organized loading bay, coordinate delivery vehicles, and liaise with Stewarding for cleanliness.
• Support Cost Control with daily receiving checks, month‑end closing, PO monitoring and discrepancy investigations.
• Provide guidance to departments on ordering procedures, PO usage and ERP queries, and maintain proper filing of all related documents.

Required profile

• Advanced understanding of financial standards, SOPs and reporting deadlines within the hospitality industry.
• Extensive experience delivering ultra‑luxury service to stakeholders.
• Proven track record of managing a team and ensuring high guest satisfaction.
• Strong attention to detail and ability to work under tight deadlines.

Required skills

• Proficiency with an ERP system for receiving and financial transactions.
