CAFM Operator – Facility Management Systems

About the role

The CAFM Operator is responsible for operating, maintaining and continuously improving the Computer Aided Facility Management (CAFM) platform to support the organization’s asset, maintenance and work‑order processes. You will act as the primary point of contact for CAFM users, ensuring data integrity and timely execution of maintenance activities.

Key responsibilities

• Operate and maintain the CAFM platform (e.g., MRI Evolution or similar) and align it with organisational standards.
• Input, update and manage asset registers, preventive‑maintenance (PPM) plans, schedules and projects.
• Track work orders, preventive and corrective maintenance tasks, and ensure their completion.
• Generate and distribute scheduled and ad‑hoc reports to management and stakeholders.
• Provide first‑line help‑desk support, assign work orders, log issues and escalate complex problems.
• Deliver user training, create guides and ensure clear communication throughout work‑order lifecycles.
• Assist the FM team with resource allocation, KPI monitoring and SLA reporting.
• Audit CAFM data regularly, identify discrepancies and recommend corrective actions.
• Maintain compliance documentation and support onboarding of new properties and assets.
• Participate in continuous‑improvement and Kaizen initiatives.

Required profile

• Diploma or bachelor’s degree in Facility Management, Engineering, IT or a related field.
• Minimum 3 years of experience in a CAFM Operator role within the facility management industry.
• Proven ability to manage asset registers, work orders and maintenance programmes.

Required skills

• Proficiency with Microsoft Office suite (Word, Excel, Outlook, PowerPoint).
• Hands‑on experience with CAFM software such as MRI Evolution, MIMS, MAXIMO, ORACLE or MRI/FSI.
