Logistics Coordinator & Admin Assistant

About the role

We are seeking a Logistics Coordinator & Admin Assistant to manage the flow of machinery, spare parts and consumables between European manufacturers and our customers across the GCC. Based in our Dubai warehouse, you will be the central point of contact for shipments, customs clearance and internal teams.

Key responsibilities

• Track shipments from dispatch to arrival, coordinating with freight forwarders, shipping lines and customs brokers.
• Prepare and verify all shipping and import documentation.
• Arrange customs clearance, inland transport and schedule deliveries with sales and service teams.
• Maintain accurate records of goods in transit and communicate delivery dates to stakeholders.
• Prepare sales quotations, reports and data records in Excel.
• Provide administrative support to HR, finance, sales and management.
• Handle hands‑on warehouse duties, including physical handling of goods during the onboarding phase.

Required profile

• Proven experience in logistics coordination, shipping or supply‑chain, preferably in a trading or equipment business.
• Strong command of written and spoken English.
• Highly organised, detail‑oriented and able to manage multiple shipments simultaneously.
• Willingness to perform physical warehouse tasks when required.

Required skills

• Microsoft Excel (building quotations, reports and data records).
• Microsoft Office suite.
• Preparation of shipping and import documentation.
• Coordination of customs clearance and inland transport.
