Office Administrator Cum Personal Assistant

About the role

The Office Administrator cum Personal Assistant will ensure the smooth operation of the regional office in Jebel Ali while providing dedicated executive support to the General Manager. This hybrid role balances office management duties with high‑level administrative assistance.

Key responsibilities

• Oversee daily office operations, facilities maintenance, and workplace services.
• Coordinate office refurbishments, relocations and improvement projects.
• Manage vendor relationships, service contracts and external suppliers.
• Process purchase requisitions and purchase orders using SAP Ariba, liaising with Procurement and Finance.
• Arrange regional travel, accommodation, logistics and events, working with hotels and travel agencies.
• Maintain office budgets, supplies and administrative records.
• Provide executive support to the General Manager, including calendar management, travel coordination and meeting preparation.
• Prepare presentations, business correspondence and executive reports while ensuring confidentiality.

Required profile

• Bachelor’s degree in Business Administration or a related field.
• Minimum 5 years of experience in executive assistance, office administration or facilities management.
• Hands‑on experience with SAP Ariba procurement processes.
• Proven ability to manage multiple priorities with professionalism and confidentiality.
