Major Secretary

About the role

The Major Secretary provides comprehensive administrative support to the leadership of the Islamic Affairs and Charitable Activities organization in Dubai. This role ensures smooth daily operations, effective communication, and accurate record‑keeping across the department.

Key responsibilities

• Organise working hours, schedule meetings, visits, interviews and prepare minutes.
• Manage internal and external communications in line with the unit manager’s directions.
• Maintain paper and electronic filing systems, ensuring confidentiality and easy retrieval.
• Execute all instructions from the unit’s senior officer with efficiency and accuracy.
• Handle office supplies, equipment and stationery, monitoring consumption and availability.
• Create and regularly update a database for internal and external stakeholders.
• Control access to office keys and drawers during employee transitions.
• Process incoming and outgoing mail, register it in the mail database, archive electronically and forward to relevant parties.
• Assist in preparing data reports in coordination with relevant departments.
• Print, archive and distribute notes and related communications.

Required profile

• Diploma with at least 3 years of secretarial experience, or General Secondary education with 6 years of relevant experience.
• Strong organisational skills and attention to detail.
• Ability to handle confidential information responsibly.

Required skills

• Proficiency with standard office software and electronic filing applications.
• Effective written and verbal communication in English.
