Merchandising Operations Assistant

About the role

The Merchandising Operations Assistant provides essential administrative and operational support to the Merchandising team in a fast‑paced luxury fashion environment. You will ensure product, order and inventory data are accurate and help coordinate the flow of merchandise from purchase to online launch.

Key responsibilities

• Maintain accurate product, purchase‑order and inventory information across systems, trackers and databases.
• Create, update and verify purchase orders, ensuring correct quantities, prices and delivery dates.
• Collaborate with Assistant Buyers, Buyers and Merchandisers to keep order trackers current and provide status updates.
• Follow up with suppliers on order confirmations, delivery timelines, shipping documentation and outstanding information.
• Coordinate with Warehouse and Logistics to monitor inbound shipments and resolve discrepancies, shortages or damages.
• Process product receipts, cancellations, returns, transfers and other inventory adjustments.
• Prepare weekly reports, stock updates and administrative summaries for Merchandising and Buying teams.
• Maintain detailed product records including descriptions, pricing, sizing, colour, composition and country‑of‑origin.
• Liaise with Content, Production and Creative teams to ensure product assets are ready for online launches.
• Assist with supplier onboarding, vendor documentation and brand record maintenance.
• Identify and propose improvements to processes, reporting and data accuracy.

Required profile

• Bachelor’s degree in Fashion, Merchandising, Business Administration, Retail or a related field (advantageous).
• 1–2 years of experience in merchandising administration, buying administration, retail operations or a similar role, preferably in fashion or luxury retail.
• Strong attention to detail and ability to maintain accurate records.
• Excellent organizational skills and ability to work under tight deadlines.
