Customer Service Specialist – Diplomatic & Wholesale

About the role

The Customer Service Specialist – Diplomatic & Wholesale ensures smooth coordination of order fulfilment, shipping, and stock movement for diplomatic and wholesale customers. Acting as a communication hub between logistics, warehouse, sales, and external partners, the specialist resolves bottlenecks and guarantees timely, accurate deliveries.

Key responsibilities

• Arrange timely shipping and delivery for all orders.
• Collaborate with Warehouse, Customer Service, and Supply Chain teams to complete orders efficiently.
• Track order status and proactively resolve shipping or fulfilment issues.
• Generate and maintain product codes for non‑MMI SKUs, ensuring accurate classification.
• Maintain up‑to‑date inventory records and pricing data.
• Utilise Salesforce and Power BI to monitor order progress, inventory levels, and produce performance reports.
• Ensure all data is correctly recorded for compliance and reporting.
• Serve as the central point of contact between internal departments and external partners.
• Apply WSET Level 2 knowledge to support wine and spirits operations.

Required profile

• Minimum 2 years experience in an administrative, logistics, or coordination role.
• Proficiency with Salesforce, Power BI, and Microsoft Office tools.
• Strong attention to detail and ability to manage multiple stakeholders.
• WSET Level 2 knowledge (preferred) to handle wine and spirits compliance.
