Head of Admin & Workplace

About the role

ChillBase, a global game development studio, is seeking a Head of Admin & Workplace to lead its administrative function, manage an international office network, and oversee employee support services such as Global Mobility, Travel, and Office Management.

Key responsibilities

• Launch new offices and hubs from scratch in locations like Dubai, Serbia, and Kazakhstan, handling search, lease negotiation, design and fit‑out.
• Manage construction, renovation and facilities contractors, validate estimates, materials and timelines.
• Develop and roll out unified quality, safety and comfort standards across all locations.
• Drive full budgeting for the admin block (CapEx/OpEx), control payment pipelines and contract approvals.
• Establish fast, transparent workflows between Admin, Legal and Finance to avoid cash‑flow gaps.
• Lead relocation, visa support and legalization processes in partnership with local vendors.
• Oversee corporate travel management, team off‑sites and local internal events.
• Develop the “office as a product” concept, including custom merch and recognition programmes.
• Lead a distributed team of ~10 people, setting KPIs and preventing burnout.

Required profile

• Proven track record leading an administrative function or international office network.
• Hands‑on experience launching offices/hubs from scratch in international locations.
• Strong financial and legal acumen (CapEx/OpEx budgeting, procurement, contract management).
• Solid experience in contractor management, tender processes and construction quality control.
• Deep understanding of Global Mobility, legalization and employee relocation workflows.
• Experience overseeing corporate travel and organising off‑site events.
• Fluent Russian and business‑level English.
