Facilities Management Soft Services Coordinator

About the role

We are seeking a Facilities Management Soft Services Coordinator to join our Total Facilities Management team in Dubai. The role supports the Operations Manager and Account Manager in delivering high‑quality soft‑service contracts, ensuring timely service delivery and customer satisfaction.

Key responsibilities

• Assist the Operations Manager and Account Manager with contractual FM provisions for soft services.
• Manage a diverse cleaning team across multiple sites, including scheduling and on‑site supervision.
• Maintain daily deployments, invoice processing, and client approvals within contractual timeframes.
• Monitor and uphold contractual KPIs and service quality standards.
• Coordinate new contract mobilisation and maintain effective communication with internal departments and clients.
• Handle client escalations, identify operational challenges, and implement efficiency improvements.
• Conduct regular cleaning audits and ensure compliance with health and hygiene standards.
• Create work schedules aligned with contract scope and report service variations.
• Utilise CAFM systems for contract management and maintain records of disciplinary actions, incident reports, and annual leave.
• Identify and implement technology solutions, develop new cleaning methods, and design customised cleaning solutions.

Required profile

• 2‑3 years of experience in a similar facilities or soft‑services coordination role.
• BICS certification or an equivalent qualification.
• Strong written and verbal English communication skills.
• Valid UAE driving licence.
• Extensive knowledge of computer and reporting systems.
• Good understanding of cleaning operations, including equipment, chemicals, and processes.
