Receiving Clerk

About the role

The Receiving Clerk ensures that all goods and materials delivered to the hotel are received accurately, on time, and in compliance with company and food‑safety standards. The role supports inventory integrity, cost control, and smooth operations by verifying deliveries against purchase orders and coordinating with internal departments and suppliers.

Key responsibilities

• Receive and inspect all deliveries, checking quantities and quality against approved purchase orders, supplier invoices and delivery notes.
• Report and resolve any discrepancies, shortages, damages or quality issues with user departments, suppliers and purchasing.
• Verify supplier invoices against physical deliveries, scan and route invoices for approval, and ensure timely posting in the system.
• Maintain accurate receiving records and file supporting documents for audit purposes.
• Prepare daily receiving, variance and shortage reports and ensure proper hand‑over of goods to relevant departments.
• Ensure compliance with HACCP, food‑safety requirements and company policies, keeping records audit‑ready.
• Liaise with Purchasing, Stores, Accounts Payable, suppliers and operational teams to support seamless hotel operations.
• Keep the receiving area clean, organized and safe, and contribute to continuous‑improvement initiatives.

Required profile

• Bachelor’s degree in Commerce, Finance, Business Administration, Supply Chain Management, Hospitality Management or a related field.
• Minimum 2 years of experience in receiving, procurement, stores or inventory control, preferably in hospitality.
• Proficiency in Microsoft Office and experience with inventory or procurement systems.
