About the role
The Executive & HR Assistant supports the Managing Director of Frequentis Middle East, ensuring smooth daily operations across the UAE sites in Dubai and Abu Dhabi. The role combines administrative, project coordination and HR responsibilities, acting as a bridge between the regional office, headquarters in Vienna and external partners.
Key responsibilities
- Provide executive support to the Managing Director, coordinating tasks across Dubai and Abu Dhabi sites.
- Manage relationships with local authorities, free‑zone agencies, banks, insurance providers and legal advisors.
- Organise and follow up on management meetings, workshops and internal projects, ensuring decisions are implemented.
- Oversee office management, including scheduling, travel arrangements, event organisation and general administration.
- Support HR processes such as recruitment, onboarding and HR project implementation in close cooperation with Group HR.
- Serve as the primary HR contact for local employees, advising on HR procedures and UAE labour‑law matters.
- Create and maintain internal communication content, employer‑branding material and the Frequentis Middle East landing page and newsletters.
- Handle confidential documentation, reporting and sensitive information accurately.
Required profile
- Education in business administration, human resources or a related field.
- 3–5 years of experience in a similar role, preferably in an international or technology‑driven environment.
- Proven experience in project coordination, HR processes and office management.
- Solid knowledge of UAE labour law and experience dealing with local authorities.
- Excellent English communication skills; Arabic or German is a plus.
- Highly organised, proactive, reliable and able to maintain confidentiality.
